Terms and Conditions
1. Programme Enrollment and Registration
Enrollment begins with an enquiry from the parent or guardian. Prior to booking, the tutor will discuss the learner’s suitability, the chosen programme, and the preferred time and location of lessons. This can be done by phone, video meeting, email, or a short face-to-face meeting if convenient. Once arrangements are agreed, an invoice can be issued, and the booking is confirmed upon receipt of payment.
Important: Please do not make payment before discussing the learner’s suitability, the chosen programme, and the preferred time and location of lessons. This ensures that the programme and tutor are the right fit for your child before the booking is confirmed
2. Service Booking and Payments
All courses are booked and paid for on a termly basis. Full payment must be made at least one week prior to the start of the course. Please note that lessons will not commence until payment has been received in full. A booking is only confirmed once full payment for the term has been received.
Once arrangements have been agreed with both the tutor and parents, a lesson slot will be provisionally held for the learner until the course start date. However, if payment is not received by this date, the slot cannot be guaranteed and may be offered to another client. In the event of multiple enquiries for the same time slot, priority will be given to the client who completes the booking and submits payment first. We therefore recommend securing your place as soon as arrangements are finalised.
Payments are preferably made via bank transfer to the Wandsworth French Tutor account (details will be provided following your booking enquiry). Cash payments are also accepted. Upon receipt of payment, you will receive a booking confirmation along with a payment receipt.
3. Cancellation, Rescheduling and Refunds
We understand that unforeseen circumstances may arise, and we aim to be fair and transparent in our cancellation policy.
3.1 Cancellations and Rescheduling by the Client
Unplanned Absences
All bookings are made on a termly basis and secure a dedicated weekly time slot with the tutor.
Cancellations made with less than 48 hours’ notice, or failure to attend a scheduled lesson, will not be rescheduled or refunded, as each session requires dedicated preparation and secures an exclusive time slot with the tutor.
Where possible, and with sufficient notice (minimum 48 hours), we will endeavour to reschedule the lesson within the same term; however, this cannot be guaranteed and is subject to availability of the client and the tutor. If the cancellation occurs at the end of the term, the missed lesson can be rescheduled the following term. For unplanned absences with sufficient notice, a maximum of two lessons per term may be rescheduled, subject to availability.
Planned Absences
For planned absences, such as holidays, family trips, events, or medical appointments, we kindly ask that you inform the tutor as early as possible so that alternative arrangements can be considered. Where sufficient notice is given, we will make every effort to reschedule the lesson within the same term, subject to availability. In exceptional circumstances, if the learner is unable to attend a face-to-face lesson, a session may be conducted online. A minimum of one week’s notice is required to allow for any necessary adjustments to the tutor’s schedule
3.2 Cancellations by the Tutor
In the event that the tutor needs to cancel a lesson, parents will be informed as early as possible. Every effort will be made to reschedule the session at a mutually convenient time within the same term. If the tutor’s absence occurs at the end of the term, the lesson will be credited towards a future session within the following term or refunded. The tutor remains committed to maintaining consistency and minimising any disruption to the learner’s progress.
4. Punctuality and Late Arrivals
4.1 Learner Punctuality and Late Arrivals
We kindly ask that learners arrive on time for every session to ensure they benefit fully from their lesson. Late arrivals can disrupt the flow of the session and may reduce the learning time available. If a learner is running late, please inform the tutor as soon as possible. Lessons will always start and finish at the scheduled time, and any lost time due to late arrival cannot typically be made up. Lost time due to the learner being late will only be made up at the tutor’s discretion and depending on availability.
4.2 Tutor Punctuality and Late Arrivals
In the event that a tutor is delayed, parents will be informed as soon as possible. The session will either be extended to make up for the lost time or the lost time will be made up at a mutually convenient time. The tutor is committed to maintaining punctuality.
5. Lesson Format
Lesson duration varies depending on the pathway selected. Sessions are primarily conducted face-to-face, at the location and time agreed in advance with parents. We aim to maintain the same lesson format during the term to maintain consistency. Where a learner is unable to attend in person, lessons may occasionally be conducted online, subject to prior arrangement (see section 3.1 above).
If changes must be made to the agreed format during the term due to changing circumstances, parents are kindly asked to inform the tutor as early as possible to allow for appropriate. Every effort will be made to change the format if necessary, but changes cannot be guaranteed and are subject to availability.
6. Extra Resources and Study Materials
Additional resources or study materials may be needed to extend learning at home. For primary learners, these will not exceed £30 per term, and for secondary learners, no more than £50 per term. Parents may choose to purchase these resources directly, or through us. If purchased via us, we will provide proof of purchase and charge only the actual cost.
From time to time, materials may be provided to students on a temporary basis for study purposes, such as books or other learning resources; these remain the responsibility of the student and their parent, guardian, or carer, and must be returned in good condition. Any items that are lost or damaged may incur a replacement fee.
7. Daily Tasks and Communication
Daily tasks are an integral part of our tutoring programme and play a key role in helping learners achieve success in French. Tasks may be assigned online through Google Classroom, via email, or on paper, depending on the age of the learner and the preferences of the learner or their parent/guardian.
Learners, with the support of their parents or guardians, are responsible for completing these short tasks throughout the week. We carefully design tasks at the appropriate level so learners can complete them independently. We strongly encourage regular completion, as consistent practice makes a significant difference to learning outcomes and long-term progress.
If any difficulty is encountered in completing the tasks, parents should contact us as soon as possible so adjustments can be made to support the learner’s progress.
All communication regarding lessons, tasks, and progress is conducted with the responsible adult (parent or guardian). Learners should not contact the tutor directly without their parent or guardian’s involvement. This ensures clear, safe, and consistent communication and helps us provide the best support for the learner.
8. Snacks and Drinks
We provide snacks and drinks for children, as we understand they have long school days and deserve a delicious French snack for their effort in continuing to learn after school; sharing a goûter is also an integral part of French culture, and we are pleased to offer this experience at no additional cost—please note that a snack permission and dietary information form will be provided for you to complete after registration.
